Mitigation Manager

OVERVIEW

Requirments:

  • Minimum of 5 years of management in Fire/Water restoration.
  • Minimum of 5 years of Xactimate experience.

Romexterra is seeking a Mitigation Manager for our Fire and Water Restoration projects. The candidate we need is a very experienced individual that can lead field production efficiently while dealing in a professional manner with varied clientele. We need a personable and proactive team leader to own this position. This position will ensure projects are run efficiently, within budget while keeping our standard of professionalism.

A mitigation manager needs to consistently inform staff of project details and evaluate the effectiveness of a project plan with employees to keep tasks completed in a timely manner. A great mitigation manager is able to motivate and direct their team to ensure the delivery of a successful project.

Daily Tasks

  • Begin every day by assessing the job board to know where all team members are located and that they have what they need to complete their tasks in a timely manner.
  • Check emails quickly for any items that need immediate attention.
  • Order all needed floor plans from Matterport and create the job in Xactimate, so it is in the queue in the order they came in.
  • Write estimates, so the work completed is billed and the work proposed gets into production.
  • Follow up with revisions from adjusters so billing can collect and repairs can begin putting a job into production.
  • Do 3-4 checks a day on the team using the job board to understand what is happening with your team.

Weekly/Monthly Tasks

  • Take time to check resources with the Facilities Manager and order any other supplies that may be needed in the near future.(implement AIMS by 05/01 from ABATIX)
  • Prepare the day before for the weekly ESR meeting. Gather points of emphasis throughout the week (see the meeting topics tab on the job board) to talk about with the team and address good and bad points for both Project Managers and Crew Chiefs. (Use photos and matterport to point out examples.) Make a folder on google drive for each meeting date
  • Follow up with jobs that have not sold and try and lend your experience and insight to the customer to try and get them to move forward with mitigation. (MUST BE WEEKLY) Meet with PMs to discuss a solution
  • Close jobs that did not move forward after appropriate follow-ups/time.
  • Compile closing numbers and points of emphasis to improve on these numbers. (See closing numbers tab on job board.)
  • Reach out to team members who are doing both a great job and a poor job and give insight on things that can be improved upon or offer praise when completed well.
  • Archive any jobs that REB or Billing havent archived in Matterport that are ready to close to keep our tally within needed thresholds.
  • Archive last month's job board. (Must be done between the 10th -15th of the month)

Quarterly Tasks

  • Coordinate a time with the Facilities manager and one crew chief to do an equipment inventory so we can track down any missing equipment. (Instruct CC to inspect the condition of the equipment as well.)
  • Review quarterly closing numbers and have a meeting with the PMs only. Share the data and give points of emphasis for the team to improve as a whole.
  • Review quarterly job completion times per CC. Rank them and meet with them individually. Review with the GM for a bonus or reprimand. Review for each CC depending on their scores.
  • Speak to team members about their goals and aspirations in the company.
  • Set training schedules for employees who wish to improve their skills and value to Romexterra.

Qualifications

  • Minimum of 5 years in a management role in mitigation services
  • 5 years of Xactimate experience
  • IICRC Certification.

Yearly Tasks 1/1 (To be done two weeks after the quarter ends)

  • Employee review. (Raises, demotions, promotions, and points of emphasis for improvement or self-growth.
  • Review all four quarters from the last year and come up with goals for the next year and quarters.
  • Review with GM the past year and the goals for the next year.
  • Try and find what things we are falling short on overall and make a goal for improvement on one major task/issue.

MILESTONES

Closing Numbers!!!

  • Work on increasing closing numbers by 2-3% per quarter. (65-70% acceptable) (Goal 75% )
  • Work on improving the CC completion goal time (Improve one stage for anyone in yellow or red)
  • No missing equipment!!!
  • Increase job average dollar amount by 250.00-500.00 per quarter. (Goal 8500.00 )
  • Promote one team member at least per year.

BENEFITS

The employee is eligible for the following commission plan to be paid on total sales when the employee refers business to Romexterra:

3% of total mitigation and content sales that are a direct result of a documented relationship that Employee has initiated and maintained

1% of total reconstruction/ repair sales that are a direct result of a documented relationship that Employee has initiated and maintained

The company will provide a company vehicle, laptop, and cell phone.

After 90 days, the employee will be eligible for Paid Time Off

5 days vacation and 3 sick days for the 1st year of employment

After 3 years of employment, the employee will be eligible for 2 weeks vacation and 3 sick days
